When entering data into an information system, it must be input in a manner that allows it to be handled and processed. When data is processed, it is converted into information, which is subsequently output to system end users.   • In an information system, there are two kinds of input:
  • Output contains comprehensive data that is saved and processed
  • The user must choose the kind of analysis that will be performed.


Storage

Data should be stored at the most comprehensive level feasible. To prevent losing critical data due to mistakes, regular backups and different summaries should be performed. Backups should also be kept in a geographically distinct area to prevent catastrophic catastrophes such as floods or fires, which may have an effect on both the original and backup data storage.


Processing

A process is a function that converts data to information. A basic method would be to tally up the number of goods sold by a company by a variable such as shop location, product, or time and date. Functions that conduct computations and may make assumptions about missing data in order to generate information from the data provided are more sophisticated procedures.


Control and feedback loops

When output is processed and generated, it enters a feedback / control loop. The system repeatedly performs the same operations based on the result of the previous loop, which may then influence the input of the next data into the loop. For example, a company may wish to purchase stock from a supplier if the stock level exceeds 10. The system may check stock levels every hour (in a loop), and if the stock level is more than 10, the loop may continue without action until the stock level falls below 10, at which time the command is performed and fresh stock is ordered.

Output

In this context, there are two kinds of output: graphical and textual:

  • Graphical output is often used to examine data on a bigger scale, which is then shown as charts, graphs, diagrams, and images.
  • Textual output is information displayed on a smaller scale as charters, text, or numbers.


Systems that are open and closed

Depending on how they respond and interact with their surroundings, information systems may be classified as open or closed systems:

An open system will interact completely with its surroundings and is capable of dealing with any unexpected occurrence since it monitors the environment, which means it can change the output based on the conditions.

A closed system is isolated and segregated from its surroundings, thus it does not interact with it significantly. A closed system only interacts with its surroundings when it is planned and anticipated ahead of time, or when it is part of an automated process. It only functions when triggered and only acts in response to events. Closed systems have no effect on their surroundings. An event, such as payroll day, might set off an automated payroll calculator.
